A large line-up creates anxiety. Attendees worry about being late and
they may perceive the event as being poorly managed. The event manager
can prevent this with some preplanning. During the site walkthrough,
make a note of any areas that narrow down. For example, a site may have
a central revolving door with a manual push doors on either side of
it. If the site will allow it, keeping the flanking doors open during
the main arrival and departure times will greatly speed up entry. Does
the venue site have natural “stop” points where people will
gather to converse? If so, try and find a way to ensure these groups
do not block the main flow-ways. Keep in mind that the coat check, food-stations,
host bars, coffee and snack stations, info tables, and give away booths
will all act as natural bottlenecks. Ideally, keep the three biggest
potential bottlenecks as far apart as possible; the registration area,
the “welcome” refreshments, and the washrooms.
