Transportation & Event Objectives
|
The decision to book transportation,
along with the type of transportation provided, will be determined by
the objectives and budget of the company organizing the event.
The practical aspects should be evaluated first, and then the event’s
“feel” should be considered.
Practical Considerations
- Are there any speakers, celebrities, or honoured guests who will
require airport and internal transportation?
If so, will this be done through volunteers; music and literary festivals
find that the opportunity to shuttle
musicians and writers around is hotly sought after by volunteers,
but a major celebrity or top executive will usually prefer a limousine
or town car. Generally, volunteer drivers are appropriate for not-for-profit
events and, unless
there is a company policy or image issue, limousines/
town cars better suit the needs of executives and celebrities.
- Does the city only have a small taxi fleet, or is there another
competing event during the major travel times of the event?
In that case, it may be a good idea to book buses or motor coaches.
- Is there some distance between where attendees initially depart
from (hotel,
office, home) and where the event is taking place? A corporate product
training seminar for staff might be held at a hotel quite far from
the office and employees homes. Arranging a coach or group of taxis
to be at the office at a certain time to bring staff to the event
location and then having transport available at the end of the session
will prevent late starts and people dashing out to feed parking meters.
Similarly, a convention
that has the majority of its guests booked in one area but is using
facilities in another part of the city can ensure good attendance
through regular coaches departing back and forth between the sites.
