Motor coaches range from the basic to models that are luxurious enough
to host a corporate retreat. Even the standard model should include
a washroom, but extras such as a TV and DVD player, armchair style seating,
sofas, a kitchen, and even a hot tub can be found. For events where
the budget is more of a consideration--or something like a charity event
where luxury transportation might make a poor impression--school buses
and even public
transit buses can be rented.Motor coaches usually have public announcement
(PA) systems that can be used to broadcast information about points
of interest along the travel route, corporate messages, team building
games, et cetera.
There are some real advantages to using motor coaches for
transportation at an event. They can move large volumes of people
quickly. Typically, a motor coach or bus can be loaded within four minutes.
They are more economical than taxis or limousines, but can still deliver
an impression of luxury. They provide an opportunity to introduce guests
to each other at events where team-building or networking
is part of the objective. The drivers are usually experienced professionals
who know the area well. For smaller groups of people, shuttle vehicles
and vans are available, often from motor coach companies.
The coach should arrive half an hour before the guests expect to get
on. It should have a full gas tank and, if part of the contract, a full
assortment of beverages and snacks sufficient for the number of expected
guests. The event
organizer will want to delegate someone to check each coach for
cleanliness, washroom supplies, etc., before guests get on. In the lead
in time to the event, it is a good idea to confirm if the coaches can
fit at the front door of the venue or if another loading zone will be
needed. If the front entrance is not accessible, it will be necessary
to provide signage (even, ideally, staff) directing guests to the bus.
It may also be necessary to get parking permits from the local municipality.
If the transport company agrees to apply for any permits, ensure at
least a week before the event that they have applied for and received
them.
