At the time of the site visit, check all areas that will be used during
the event for wheelchair accessibility. Determine which of the hotel
entrances are closest to the elevator banks
and ensure that any disabled guests are aware of these features and
have visible signage pointing to access points and washrooms. Ideally,
there will be easily accessible washrooms for guests with physical disabilities.
The meeting rooms and entertainment/social areas should all be wheelchair
friendly—ramps and elevators, flow aisles wide enough for wheelchairs
to move through easily, wheelchair accessible washrooms, ground surface
that a wheelchair can move over (sand, soft earth, long grass, loose
gravel, and very plush carpets are not wheelchair friendly). If any
outings are planned, the
transportation and ultimate destination should be wheelchair friendly.
Many hotels now have rooms especially adapted for wheelchair users.
See if these are available for any attendees who would benefit from
them.
