Keep a copy at hand of all contracts, key correspondence, and permits.
These can be brought along whenever the location is visited or when
the event is being discussed with the venue manager. Signed documents
that spell out the specific agreements between the venue and the event
organizer can be an invaluable tool during the bustle of activity
that surrounds almost any type of event, especially if there has been
a staff change since the contract was signed.
For larger events,
or ones that are smaller but highly detailed, arrive in advance of the
event and go through the contract details with the location and any
suppliers. Do not allow any changes that will negatively impact the
event’s objectives.
